CommunityOps Privacy Policy
Last Updated: September 16, 2026
This Privacy Policy explains how SRG Industries LLC, a Pennsylvania limited liability company doing business as "CommunityOps" ("CommunityOps," "we," "us," or "our"), collects, uses, keeps and discloses personal information in connection with communityops.io (the "Site"), the CommunityOps Discord server (the "Community"), our free audit, and our paid services (together, the "Services").
This Privacy Policy is part of our Terms of Service. Capitalized terms not defined here have the meanings given in the Terms of Service.
The short version:
- We collect what we need to deliver your audit or your build, run our Discord, and keep our Site secure.
- Whop runs our checkout. We never see your full card number.
- communityops.io sets no advertising cookies, and we do not sell your personal information or share it for targeted advertising.
- We do not currently send newsletters or text messages.
- You can ask to see, correct or delete your information by opening a ticket or emailing support@communityops.io.
1. What This Policy Covers
This policy covers personal information we collect and control as a business. It does not cover:
- Whop, Discord, Fiverr and other platforms. Information you give directly to those platforms is governed by their own privacy policies. For example, Whop processes your payment details under Whop's privacy policy.
- Your members' data when we work for you. When we build or support a community for a client, we may see personal information about that client's members or customers. We handle that information on the client's behalf, as their service provider, as described in Section 9. If you are a member of one of our clients' communities, please contact that community's owner about their privacy practices.
2. Information We Collect
2.1 When you check out on Whop
Whop (whop.com) runs our checkout, processes payments and manages memberships. When you claim the free audit or buy a product, we receive from Whop:
- your email address;
- your name or Whop username;
- any answers you give to checkout questions, such as what you want help with and your Discord invite link (these questions are optional; if you don't share an invite link, you get a launch plan instead of a server audit);
- the product, plan and price you chose, and your purchase, membership, renewal, cancellation and refund status.
We do not receive or store your full payment card number.
2.2 Information you give us directly
- Tickets and your Private Channel. Messages, answers to ticket questions, files, screenshots, scope confirmations, approvals and other information you post in your ticket or Private Channel.
- Email and other messages. Information you send us by email, Whop message or Discord message.
- Requests. Information you give us when you ask for a refund, send a privacy request, send a copyright notice, or opt out of arbitration.
- Reviews. Reviews you publish about us on Whop (see Section 2.4).
2.3 From Discord, through our bot
Our Discord bot runs access, private channels and support tickets in the Community. It handles:
- Account and access details. Your Discord user ID, username, server membership (for example, when you join after tapping Claim Access in Whop), and the roles that control your access.
- Ticket answers. The answers you give when you open a ticket are posted in your private channel.
- Transcripts. When a ticket closes, a plain-text transcript of it is saved to a channel only our staff can see.
- Reply reminders. In open tickets, the bot checks who posted last and when, so our staff are reminded to reply.
- Spam protection. The bot keeps short-term rate-limit data in memory to prevent spam. It is cleared whenever the bot restarts.
Discord also collects information about you under its own privacy policy. Messages you post in public channels of the Community can be seen by other members.
2.4 From Whop, through notifications
- Staff notifications. Whop sends us automated notifications (webhooks) when someone claims a product, makes a payment or cancels. These are posted to a private channel that only our staff can see, and may include your name or username, email address, product and status.
- Reviews. We check Whop for published reviews of CommunityOps. If you publish a review with four (4) or five (5) stars, we may repost its text and star rating in the public #reviews channel of the Community with your first name only.
2.5 During a free audit
- We join your server using a normal invite, as a regular member would, and look at what a regular member can see. We do not need administrator access, and we do not post or message your members.
- We take screenshots while we do this. Screenshots can include usernames, avatars and messages of people in your server that are visible to a regular member.
- We keep audit screenshots and notes privately and delete them within 90 days, unless you become a client (see Section 6).
- Our audit account leaves your server after we deliver your report.
2.6 During paid work
When we build or support your community, we access your Discord server and Whop company through temporary roles and team seats. We may see information held there, including information about your members and customers. We handle that information as described in Section 9.
2.7 Automatically, on communityops.io
- Server logs. Our web server records your IP address, the pages you request, the date and time, and your browser's user agent. We keep these logs for up to 90 days and use them for security and to count visitors in aggregate.
- Fonts. Our pages load fonts from Google Fonts. When your browser requests them, Google receives your IP address and browser information under Google's privacy policy.
- Embedded checkout. Some pages embed Whop's checkout. When it loads, Whop receives information from your browser and may set its own cookies under Whop's privacy policy.
2.8 Orders placed on Fiverr
If you order from us on Fiverr, Fiverr shares order details and messages with us under Fiverr's terms and privacy policy. We may use an automation tool (such as Zapier) to send ourselves alerts about new Fiverr orders.
3. How We Use Personal Information
We use personal information to:
- deliver the free audit, builds, the retainer, custom apps and other Services you request;
- open your private channel, give you the right roles and access, and answer your tickets;
- confirm scope, record your approvals, and keep records of what we built and changed;
- process and record purchases, renewals, cancellations, refunds and chargebacks (Whop processes the payments);
- show published reviews in our #reviews channel, with first name only;
- keep the Site and Community secure, prevent spam, fraud and abuse, and enforce our Terms and Community rules;
- count visitors in aggregate and improve our Services;
- comply with legal, tax and accounting obligations, respond to legal requests, and establish or defend legal claims.
We do not use personal information for targeted advertising, and we do not make decisions about you based solely on automated processing that have legal or similarly significant effects.
4. How We Disclose Personal Information
4.1 Service providers. We use these service providers to run our business. They receive personal information only as needed to provide their services to us:
- Whop: checkout, payments, memberships, messages and review data.
- Discord: our Community, private channels, tickets and bot.
- Hostinger: server hosting (virtual private server), including our Site.
- Google: email, documents and the fonts on our Site.
- Zapier: alerts about Fiverr orders, if we use it.
4.2 Other people in the Community. Content you post in public channels, and reviews we repost under Section 2.4, can be seen by members of the Community. Your private channel can be seen by our team and by anyone you add to it.
4.3 Legal and safety. We may disclose personal information if we believe in good faith it is required by law, subpoena, court order or government request, or needed to enforce our Terms, protect the rights, property or safety of us, our clients, members or others, or investigate fraud or security issues.
4.4 Business transfers. If we are involved in a merger, acquisition, financing, reorganization or sale of all or part of our business, personal information may be disclosed to the parties involved under confidentiality obligations, and transferred to the new owner so it can continue providing the Services.
4.5 With your permission. We may disclose personal information for other purposes with your consent, for example publishing a case study you have approved in writing.
4.6 No sale and no targeted advertising. We do not sell personal information, and we do not share it for cross-context behavioral advertising or targeted advertising. We have not done so in the past 12 months.
5. Cookies and Similar Technologies
communityops.io does not set advertising or analytics cookies, and it does not use advertising pixels or trackers. The embedded Whop checkout may set its own cookies, which are covered by Whop's privacy policy, and Google receives your IP address when your browser loads our fonts (Section 2.7). You can block or delete cookies in your browser settings, but the Whop checkout may not work without them. Because we do not sell or share personal information or use targeted advertising, browser "Do Not Track" and Global Privacy Control signals do not change how we handle your information.
6. How Long We Keep Information
We keep personal information only as long as we need it for the purposes in this policy, and then delete or de-identify it.
| Information | How long we keep it |
|---|---|
| Website server logs | Up to 90 days |
| Free audit screenshots and notes | Deleted within 90 days after the audit, unless you become a client, in which case they are kept as project records for the same period as tickets and transcripts |
| Ticket answers, private channel messages and ticket transcripts | 24 months after the ticket closes, then deleted |
| Whop staff notifications (claims, payments, cancellations) | 24 months, then deleted |
| Bot rate-limit data | In memory only, cleared when the bot restarts |
| Reviews reposted in #reviews | Until the review is removed from Whop or you ask us to remove it |
| Purchase, refund and tax records | As long as tax, accounting and other laws require |
| Privacy requests, arbitration opt-outs and copyright notices | 24 months after the request or notice, or longer if needed for a legal claim |
| Your members' data we see during paid work | Handled under Section 9 |
We may keep information longer if we need it to resolve a dispute, chargeback or legal claim, or if the law requires it. We delete tickets and transcripts sooner if you ask, unless we need them for one of those reasons. Messages in public Community channels stay until they are deleted by you or by our moderators.
7. Security
We use reasonable administrative, technical and organizational measures to protect personal information. For example, we work through temporary roles and team seats instead of asking for passwords, limit staff-only channels to our team, and remove our access to client platforms at handover. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not post passwords or payment card details in tickets or channels.
8. Your Choices and Rights
8.1 Marketing emails. We do not currently send newsletters or marketing emails. If we start, we will tell you how to unsubscribe in every marketing email. You will still receive messages about your purchases and Services.
8.2 Text messages. We do not send text messages. If we offer them in the future, we will ask for your express consent first, consent will not be a condition of purchase, and you will be able to opt out at any time by replying STOP.
8.3 Access, correction and deletion. You may ask us to tell you what personal information we hold about you, give you a copy, correct it, or delete it. Open a ticket in the Community or email support@communityops.io. We may need to verify your identity, for example by asking you to write from the Discord account or email address associated with your purchase. We may keep information where we have a legal obligation or another lawful reason to do so, and we will tell you if that applies. Some information is held by Whop, Discord or Fiverr under their own policies, and you may need to contact them directly.
8.4 State privacy rights. Depending on where you live, state privacy laws may give you rights to: know the categories and specific pieces of personal information we collect, use and disclose; access and receive a portable copy of it; correct inaccurate information; delete it; opt out of the sale or sharing of personal information, targeted advertising and certain profiling; limit the use of sensitive personal information; and not be discriminated against for using these rights. We may not be subject to every such law, but we honor the requests in Section 8.3 for everyone. To make a request, email support@communityops.io with the subject line "Privacy Rights Request," or open a ticket. You may use an authorized agent, and we may ask for proof of the agent's authority and verify your identity. We aim to respond within 45 days. If we decline your request, you may appeal by replying to our response with the subject line "Privacy Request Appeal," and we will respond to the appeal in writing. If your appeal is denied, you may contact your state Attorney General.
We do not sell or share personal information and do not use it for targeted advertising, so there is nothing to opt out of. We do not use sensitive personal information to infer characteristics about you.
8.5 Categories of personal information. In the past 12 months we have collected the following categories of personal information, for the purposes in Section 3, and disclosed them for business purposes to the service providers in Section 4.1:
| Category | Examples | Sources |
|---|---|---|
| Identifiers | Name or username, email address, Discord user ID, Whop username, IP address | You, Whop, Discord, our web server |
| Commercial information | Products bought, plans, payment, renewal, cancellation and refund status | Whop |
| Internet or network activity | Pages requested on our Site, browser user agent, bot interactions, ticket activity timestamps | Our web server, Discord bot |
| Audio, visual or similar information | Audit screenshots, files you send us | You, your server during an audit |
| Professional or business information | Your community, business, offers, and what you want help with | You, Whop checkout questions |
| Communications | Ticket answers, transcripts, private channel messages, emails, reviews | You, Discord, Whop |
We do not knowingly collect sensitive personal information such as government ID numbers, precise geolocation, or full payment card numbers.
9. Information About Our Clients' Members
When we build or support a community for a client, we may see personal information about that client's members or customers in the client's Discord server or Whop company, for example usernames, roles, email addresses and purchase status. For that information, we act as the client's service provider (sometimes called a processor), and the client decides how it is used. We use it only to perform the services the client ordered, we do not sell or share it or use it for our own marketing, we avoid copying it outside the client's platforms except as needed to do the work, and we remove our access at handover. Where a copy ends up in our records (for example, a screenshot in a ticket), it is kept and deleted under Section 6. Members of a client's community should contact the community owner to exercise privacy rights, and we will help our clients respond to those requests.
10. International Users
We are based in the United States, and our Services are directed primarily to people and businesses in the United States. If you use our Services from another country, your information will be transferred to and processed in the United States and other countries where our service providers operate, which may have different data protection laws than your country.
If you are in the European Economic Area, the United Kingdom or Switzerland, and data protection law there applies to our processing: we process your information to perform our contract with you (for example, delivering Services you bought), for our legitimate interests (for example, security, preventing fraud and improving our Services, where those interests are not overridden by your rights), to comply with legal obligations, and with your consent where required. You may have rights to access, correct, delete, restrict or object to processing of your information, to data portability, and to withdraw consent at any time. You can exercise these rights under Section 8.3, and you may lodge a complaint with your local data protection authority.
11. Children
Our Services are for people who are 18 or older, or the age of majority where they live. We do not knowingly collect personal information from anyone under 18 for our own purposes. If we learn that we have, we will delete it and may remove the associated access. If a client's community includes younger members, any information about them that we see while working for that client is handled under Section 9.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version with a new "Last Updated" date. For material changes, we will also give notice by email to the address on your Whop account, in the Community, or in your private channel, before the change takes effect.
